Wikipropedia — Privacy Policy

The short version

  • What you type, we send to AI companies. Your messages, your animal's details, and any photos you upload are transmitted to third-party AI providers (Anthropic, OpenAI, Google, xAI) so they can generate responses for you. Do not share anything you would not want processed this way.
  • We keep detailed records of you and your animals — including a full health history — because that is what makes the Service work.
  • We do not sell your personal information, and we do not hand it to partners for their own purposes. We do use it ourselves — including to train and improve our own AI models (Section 5.7).
  • We use cookies and analytics to run and improve the Service.
  • You can access, correct, export, and delete your data (Section 9).
  • Questions: support@wikipropedia.com

This summary is for convenience only. The full policy below governs.

1. Who we are and what this covers

This Privacy Policy explains how CRAB PULSAR LLC ("Wikipropedia", "we", "us", "our"), a Delaware limited liability company, collects, uses, discloses, and protects information when you use wikipropedia.com and related services (the "Service").

It applies to all Service users, whether or not you have an account, including anonymous visitors who chat on our landing page before registering.

It does not apply to third-party services we link to or integrate with, which have their own policies (Section 5).

By using the Service you agree to this Policy and to our Terms & Conditions. If you do not agree, do not use the Service.

Note on animal health information. Our records concern animals, not people. HIPAA and similar human-health privacy laws generally do not apply. Your own personal information as an owner is protected by applicable privacy law, and we treat your animals' records as confidential regardless.

2. Information we collect

2.1 Information you give us

Account and identity Email address, password (stored hashed, never in plaintext), name, preferred name, pronouns, preferred language, and time zone.

Owner profile Phone numbers, email addresses, and mailing/physical addresses (each rankable); emergency and authorized contacts; pet insurance details; referral source; communication preferences; and your per-channel, per-topic consent choices, which we retain as an append-only audit trail to prove what you agreed to and when.

Animal profiles and health records Name, species, breed, date of birth (and whether it is approximate), sex, spay/neuter status, color and markings, microchip and other identifiers, source/adoption history, weight and body condition history, and insurance; plus a clinical record including problem list, allergies and adverse reactions, medications, encounters, vitals, laboratory results, imaging, surgeries and procedures, dental, reproductive history, parasite prevention, vaccinations, diet, and behavior.

(Age and life stage are *computed at read time* from date of birth and the current date — we do not store them.)

Conversation content Everything you write to Vicky and in the Care Room, including your descriptions of your animal's condition, and our responses.

Uploads Photographs, documents, and files you attach — including images of your animal and records from your veterinarian.

Preferences we learn Care preferences (such as cost sensitivity, speed vs. thoroughness, DIY vs. prescription inclination). We record a preference only from an explicit, durable statement you make — never inferred from a passing question or an in-the-moment remark. You can view and edit these in your account.

Support communications Anything you send to support@wikipropedia.com.

2.2 Information from payment

Payments are processed by Stripe, Inc. We never receive or store your full card number. From Stripe we receive: subscription and trial status, billing history, payment outcomes, and billing phone number and postal/ZIP code or city, which we store on your profile and use to localize pricing guidance and in-person care suggestions.

2.3 Information collected automatically
  • Session cookie — a strictly necessary, httpOnly cookie (wk_sid) that maintains your session. The Service cannot function without it.
  • Usage and analytics — pages viewed, features used, and product events (for example, starting a conversation or opening the menu), collected via PostHog.
  • Device and connection — IP address, browser type, operating system, device type, referring URL, and timestamps.
  • Advertising and attribution — if you arrive from an advertisement, we capture click identifiers (such as Google Ads auto-tagging parameters) to attribute conversions.
  • Delivery and engagement — email delivery outcomes, including bounces.
2.4 Operational and diagnostic logs

We log AI request metadata (model, latency, token counts, errors) to operate and debug the Service. These diagnostic logs are designed to capture metadata and redacted errors — not your prompt and response text. They are pruned on a retention schedule.

2.5 Sensitive information

We do not intentionally collect government identifiers, financial account numbers (Stripe handles payment credentials), precise geolocation, biometric data, or information about your own health. Please do not submit these.

If you volunteer such information in conversation — for example, describing your own health while describing your animal's — it becomes part of the conversation record and is processed as described in this Policy, including transmission to AI providers under Section 4.

3. How we use your information

We use your information to:

  • Provide the Service — generate responses, run the Care Room, produce Consensus Diagnosis reports, maintain profiles and records, and compute your animals' care schedules and reminders;
  • Personalize — apply your language, location, and stated care preferences;
  • Maintain continuity — carry your pre-registration conversation into your Care Room so you do not have to repeat yourself, and so clinicians can see relevant history;
  • Operate safety features — screen for emergencies, toxic exposures, and red flags, and run a hard allergy check before any medication guidance;
  • Communicate — send transactional messages (reply notifications, care reminders, check-ins, sign-in links, receipts, service notices) by email and — only if you opt in via the SMS checkbox at sign-up — by text message to the mobile number you provide (reply STOP at any time to stop; message and data rates may apply); and, with your consent where required, marketing. We do not send marketing texts without a separate, express opt-in, and we never sell or share your mobile number for others' marketing;
  • Process payments and manage your subscription, trial, and refunds;
  • Improve the Service — analyze usage, evaluate quality, debug, and develop features;
  • Enable human veterinary review — allow authorized personnel to review a case and post a response;
  • Secure the Service — prevent fraud, abuse, and unauthorized access;
  • Comply with law and establish, exercise, or defend legal claims;
  • Train, fine-tune, and evaluate artificial intelligence and machine learning models that we own or operate (see Section 5.7);
  • Market and promote our own Service to you, subject to your opt-out rights in Section 9;
  • Research, analytics, and product development, including creating de-identified or aggregated datasets.

See Section 5.7 for how we use your information to train our models — and for what we do not do with it.

Legal bases (EEA/UK users). Performance of a contract (providing the Service); legitimate interests (security, improvement, analytics); consent (marketing, non-essential cookies); and legal obligation. You may withdraw consent at any time.

4. ⚠️ AI processing — please read this

To generate responses, we transmit your conversation content — including your descriptions of your animal, your animal's health record, and any photographs or documents you upload — to third-party AI providers.

Current providers:

ProviderUsed for
Anthropic (Claude)Vicky, Care Room clinician responses, routing, case summaries
OpenAI (GPT)Consensus Diagnosis independent review
Google (Gemini)Consensus Diagnosis, when enabled
xAI (Grok)Consensus Diagnosis, when enabled

What this means for you:

  • Your content leaves our systems and is processed on these providers' infrastructure.
  • Photographs you upload are transmitted as image data to these providers.
  • Each provider handles data under its own terms and privacy policy, which we do not control.
  • Providers may retain content briefly for abuse monitoring and safety, per their policies.
  • We may add, remove, or change providers at any time; we will update this Policy.

We contract with these providers to process data on our behalf and not to train their models on your content. We cannot, however, guarantee the security or practices of any third party.

Please do not submit information you would not want transmitted to and processed by these companies.

5. How we share your information

We share your information as described in this section — and only as described in this section.

We do not sell your personal information, and we do not give it to partners or other organizations for their own purposes. The third parties below receive it either to perform services for us under contract, or in the specific, limited circumstances described. See Section 5.7.

5.1 Service providers (subprocessors)
ProviderPurposeWhat it receives
Anthropic, OpenAI, Google, xAIAI response generationConversation content, animal records, uploads (Section 4)
Stripe, Inc.Payments and subscriptionsPayment credentials (direct to Stripe), email, billing details
Microsoft AzureHosting and infrastructureAll data at rest and in transit
PostHogProduct analyticsUsage events, device/IP, pseudonymous identifiers
Google AdsAdvertising and conversion measurementClick identifiers, hashed conversion signals
Google (Gmail/OAuth) and our SMTP providerTransactional emailEmail address, message content and previews

These providers are contractually restricted to using your information only to provide services to us.

5.2 Human veterinarians and authorized personnel

Authorized personnel — which may include licensed veterinarians — may access your case, including your conversation, animal records, and uploads, in order to review it and respond. They are bound by confidentiality obligations.

Note: as explained in Terms §4.3, a human veterinarian's contribution is general information and does not create a veterinarian-client-patient relationship.

5.3 Legal and safety

We may disclose information where we believe in good faith it is necessary to: comply with law, subpoena, or legal process; enforce our Terms; detect or prevent fraud, security, or technical issues; or protect the rights, property, or safety of Wikipropedia, our users, the public, or any animal. Where lawful and practical, we will try to notify you first.

5.4 Business transfers

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, your information may be transferred as part of that transaction. We will notify you and the successor will remain bound by this Policy or provide notice of any change.

5.5 Aggregated and de-identified information

We may create de-identified and aggregated information from everything described in Section 2 — including conversation content, animal health records, and uploads — and we may use, retain, disclose, license, sell, publish, and commercialize it for any purpose, indefinitely, without restriction and without further notice to you.

Examples of what we may do with it: train and improve AI models, build and license datasets, publish research and benchmarks, produce statistics and insights about animal health, and develop and sell new products.

De-identified and aggregated information is not personal information, and this Privacy Policy's restrictions — including the limits in Section 5.7 — do not apply to it. Our rights in it survive deletion of your account, because once information can no longer be associated with you, deleting your account cannot and does not reach it.

The safeguards that make this legitimate, and which we commit to publicly and by contract:

  • we take reasonable measures to ensure the information cannot reasonably be used to infer information about, or otherwise be linked to, you, your household, or your animals;
  • we maintain and use it in de-identified form and will not attempt to re-identify it, except solely to test that our de-identification is effective;
  • we contractually obligate any recipient to the same commitments, and to make no attempt to re-identify it.

(These are the conditions the CCPA/CPRA sets for information to qualify as de-identified. We treat them as binding obligations, not aspirations — if we do not meet them, the information is personal information and Section 5.7's limits apply to it in full.)

5.6 With your direction

We share information as you direct — for example, when you forward a report to your veterinarian.

5.7 How we use your information to train our models and market our Service

We use the information described in Section 2 — including your conversation content, your animals' records, and the photographs and documents you upload — for our own purposes, including:

  • training, fine-tuning, evaluating, benchmarking, and developing artificial intelligence and machine learning models that we own or operate;
  • research, analytics, statistical modeling, quality evaluation, and product development;
  • creating de-identified or aggregated datasets and derived products;
  • marketing and promoting our own Service to you.

These are our own, first-party uses. We do not need to hand your information to anyone else to do them, and we don't.

What we do NOT do:

  • We do not sell your personal information.
  • We do not disclose your personal information to partners, affiliates, licensees, data brokers, or other organizations for those organizations' own purposes.
  • We do not license or trade your information, and we do not accept money or other valuable consideration in exchange for it.
  • We do not disclose your payment card details (we never hold them — see Section 2.2), your password, or your account authentication credentials for any of these purposes.

The only third parties that receive your information are the service providers in Section 5.1, which are contractually restricted to processing it on our behalf, for us, and are prohibited from using it for their own purposes — plus the limited cases in Sections 5.2 through 5.6 (human review, legal and safety, business transfers, de-identified data, and disclosures you direct).

Your choices. You can opt out of marketing at any time (Section 9.1), and you can delete your account and data (Section 9.1). Deletion does not extract your content from a model already trained on it, which is not practicable — but it stops all future use.

Where we can accomplish a purpose with de-identified or aggregated information, we do.

6. Cookies, analytics, and advertising

Strictly necessary. Our session cookie (wk_sid) is required to keep you signed in. It cannot be disabled while using the Service.

Analytics. PostHog helps us understand how the Service is used and where it fails.

Advertising. We use Google Ads to measure the effectiveness of our advertising, including conversion tracking that reports back that an ad click resulted in a signup.

Your choices. Most browsers let you block or delete cookies (this may break the Service). You can opt out of Google's advertising personalization at google.com/settings/ads and via optout.aboutads.info. California residents: see Section 9.2 for opting out of "sharing."

Do Not Track. Browser DNT signals lack a common standard; we do not currently respond to them.

7. How long we keep your information

We retain information for as long as needed to provide the Service and for the purposes in this Policy.

DataRetention
Account, profile, animal records, conversations, uploadsWhile your account is active
After account deletionDeleted or de-identified within [30] days, except as below
Billing and tax records[7] years (legal requirement)
AI diagnostic/error logsPruned on a configured schedule (currently [30] days)
Consent audit trailRetained as long as needed to evidence consent
BackupsPurged on our ordinary backup cycle (up to [90] days)
Legal holdRetained as long as required for an actual or anticipated legal claim

Cancelling your subscription does not delete your data. Your records remain so you can return. To delete, follow Section 9.

(Bracketed periods to be confirmed against implemented retention jobs before publication.)

8. Security

We use administrative, technical, and physical safeguards including encryption in transit, hashed password storage, httpOnly session cookies, scoped access controls, a secret-gated administrative console, and single-use, expiring, hashed sign-in links.

No method of transmission or storage is completely secure. We cannot guarantee absolute security, and you use the Service at your own risk. Protect your password and notify us immediately at support@wikipropedia.com of any suspected unauthorized access. We will notify you and regulators of a breach as required by law.

9. Your rights and choices

9.1 Everyone
  • Access the information we hold about you.
  • Correct inaccurate information — much of it directly in your account and pet profiles.
  • Delete your account and data. You may request deletion in-product or by emailing support@wikipropedia.com. We mark the account deleted, remove it from active use, and delete or de-identify it on the schedule in Section 7, subject to legal retention.
  • Export your data in a portable format — email support@wikipropedia.com.
  • Opt out of marketing via the unsubscribe link or your communication preferences. Transactional messages (reply notifications, receipts, security notices) are part of the Service and cannot be opted out of while you hold an account.

To exercise a right, email support@wikipropedia.com. We respond within the time required by law (generally 45 days under CCPA, 30 days under GDPR) and may need to verify your identity. We will not discriminate against you for exercising your rights.

9.2 California residents (CCPA/CPRA)

You have the right to know, delete, correct, opt out of sale/sharing, limit use of sensitive personal information, and to non-discrimination.

Sale. We do not sell your personal information, and we have not sold personal information in the preceding 12 months. We do not disclose it to third parties for their own purposes, and we do not receive money or other valuable consideration for it (Section 5.7).

Sharing (cross-context behavioral advertising). We use Google Ads conversion tracking to measure whether an ad click resulted in a signup. Depending on how such advertising tools are configured, this may constitute "sharing" under the CPRA.

To opt out, email support@wikipropedia.com with "Do Not Share" in the subject line and we will stop it for you. You can also opt out of Google's advertising personalization directly (Section 6). Opting out is free, does not affect your membership, your price, or the Service you receive, and we will not discriminate against you for it.

We do not knowingly sell or share the personal information of consumers under 16 years of age.

Sensitive personal information. We do not use or disclose it for purposes requiring a "limit the use" option.

Authorized agents may submit requests with proof of authorization.

Categories collected, disclosed for a business purpose, and shared are described in Sections 2, 4, and 5. Sources are: you, your device, and Stripe. Purposes are in Section 3.

9.3 EEA, UK, and Switzerland (GDPR)

You have the rights to access, rectification, erasure, restriction, portability, objection (including to processing based on legitimate interests and to direct marketing), and to withdraw consent at any time without affecting prior lawfulness.

You also have the right to lodge a complaint with your supervisory authority.

Note: the Service is intended for users in the United States (see Terms §2). Where we process the data of users in these regions, these rights apply.

9.4 Other US states

Residents of states with comprehensive privacy laws (including Virginia, Colorado, Connecticut, Utah, and others) have similar rights of access, correction, deletion, portability, and opt-out, including a right to appeal a denied request. Email support@wikipropedia.com; to appeal, reply with "Appeal" in the subject.

10. Children

The Service is not directed to anyone under 18, and we do not knowingly collect information from children under 13 (or under 16 in the EEA/UK).

If you believe a child has provided us information, contact support@wikipropedia.com and we will delete it promptly.

11. International transfers

We are based in the United States and process and store information there. If you access the Service from outside the United States, your information is transferred to the U.S., which may not provide the same level of protection as your jurisdiction.

Our AI providers and other subprocessors may process information in the United States and other countries. Where required, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses. By using the Service, you consent to this transfer.

12. Changes to this Policy

We may update this Policy. We will revise the "Last updated" date and, for material changes, provide prominent notice (such as email or an in-product notice) at least 30 days before the change takes effect.

Your continued use after the effective date constitutes acceptance. If you disagree, stop using the Service and request deletion under Section 9.
